Overview

Thermal Distribution and Control (“TDC”, “we”, “us”) provides HVAC and refrigeration installation, maintenance and emergency response services. This policy explains what personal data we collect through this website, how we use it, and the choices you have.

What we collect

We collect personal data when you use our online forms or contact us directly:

  • Request a Quote form: name, email address, phone number, property address, property type (commercial or residential), the service you’re enquiring about, and your preferred timescale.
  • Emergency Callout form: name, contact number, site address and a description of the fault.
  • Contact form: name, email address and your message.

We don’t collect payment details through this website — quoting and invoicing are handled separately once a job is agreed.

How we use it

We use the information you give us to respond to your enquiry, prepare a quote, schedule work, and — where you’ve agreed to it — keep you updated about your job. We rely on two legal bases: performance of a contract (or steps towards one) when you request a quote, and legitimate interest when responding to general enquiries.

How long we keep it

We keep enquiry and quote data for as long as needed to respond to you and, where a job goes ahead, for the duration of the contract plus the period required for accounting and warranty purposes. General enquiries that don’t lead to a job are kept for up to 12 months.

Who we share it with

We use third-party providers to run this site and process enquiries, including our website host and our form and email delivery providers. These providers only process data on our instructions and aren’t permitted to use it for their own purposes. We don’t sell your data.

Cookies

This site uses cookies to remember your preferences and to understand how the site is used. You can control cookies through your browser settings.

Fonts and icons

This site loads its typefaces from Google Fonts and its icon set from Font Awesome’s Kit CDN. Loading these directly from Google’s and Font Awesome’s servers means your device connects to them when you visit, which shares your IP address as part of that request. We’re moving to host these locally to avoid this; until then, this is disclosed here as a third-party connection this site makes on every page load.

Your rights

Under UK data protection law, you have the right to ask what personal data we hold about you, to have it corrected, and in most cases to have it deleted. To exercise any of these rights, contact us using the details below.
